December 2023 ACE Program Clarifications

Effective January 5, 2024

To ensure that complete and sufficient documentation is available for review or audit of the Afterschool Child Enrichment (ACE) program, participating ACE providers must comply with the following requirements.

ACE Provider/Program Requirements

●      Before- or after-school educational programs must maintain attendance records for
children participating in the ACE program.

Invoicing for Services

  • Submit complete invoices that include:
    • Date invoice is issued
    • Complete name and address of the child’s parent/guardian
    • Dates of service (Date ranges are not acceptable)
    • A statement attesting that the parent/guardian has reviewed and approved
      the invoice being submitted. (Required only for unpaid invoices)
  • All invoices for Before- or after-school educational programs must include specific dates of service on all invoices. Date ranges are not acceptable.
  • Invoicing for Before- or after-school educational programs is limited to no more than a month (30 days) in advance.

The above requirements are in addition to previously issued guidance and requirements.
